Moving, linking and copying files

Moving a file and putting it in another project are different actions, and only one of them is a move.

Moving

Moving a file puts it in another folder of the same project. Nothing else changes: same document, same version, same classification, same records status, same retention rule.

A folder is a place to look for something. It is not what decides how long LEAT keeps it.

Linking to another project

Putting a file in a second project creates a shortcut. There is still one document and one copy of the file.

You need access to both projects, and the person you are doing it for still needs access to the original. A shortcut in a project you can open does not hand you a document you were not allowed to see.

There is no copy

LEAT does not duplicate a file to put it in two places, and that is on purpose. Two copies means two things to keep, two things to dispose of and two chances for somebody to read the wrong one.

Removing is not deleting

Taking a file out of a folder removes the shortcut. The document is still kept, and it can be put back.

Destroying a record is a separate process with approvals, and no button in the file manager reaches it.
